How it works

From vehicle check to signed record

1. Verify the vehicle

Record registration, VIN, make, model, mileage and V5 issue date. Confirm the VIN shown on the vehicle matches the registration document.

2. Identify keeper and customer

Capture the registered keeper details, the person presenting the vehicle, accepted identity-document details and fleet or lease evidence when relevant.

3. Establish authority

Record whether the customer is the registered keeper or how another person’s authority was established, such as an authenticated letter of empowerment.

4. Create the repair order

State the reason for the security-related repair, add evidence, and obtain the customer’s signature. Never add manufacturer passwords, certificate PINs or dealer credentials.

5. Submit and retain

Submission locks the report and sets its five-year retention date. Owners can search workshop records and download a consistent audit PDF. A correction is made by voiding the original with a reason and creating a new report.
